Reservation

Reservations leads to reserving of a particular type of room,(e.g., Single room, Double room, Deluxe) for a particular guest for a given period of time.

Key Responsibilities for Reservation

  • 1. Correspond with Direct Guest/Agent.
    • a. Correspond with Direct Guest/Agent for their requirement through the email, telephone or fax to book/confirm the reservation(s).
    • b. Create new reservation/edit reservation as required.
    • c. Send the Proforma Invoice/ Confirmation Letter if required. These can be sent from the PMS or alternatively, you can save and send it through the email.
  • 2. To generate maximum room revenue.
    • a. Co-ordinate with sales department to meet the target for maximum room revenue.
    • b. Conduct meeting for promotional rates as well as special rates if required.
    • c. Consult higher authority for any discount to be provided.
  • 3. Advance Payment Follow-up.
    • a. Correspond with Direct Guest/Agent for the advance payment to confirm the reservation.
    • b. If any advance collection have been done, enter in the collection entry in PMS.
  • 4. Today’s Arrival List.
    • a. Co-ordinate with Front Office, and make sure all the information are properly conveyed for the arrival guest/group.
